The name of this club, a member of the United States Pony Club, Inc., is Stones River Pony Club. Its colors are red, white and blue.
- Sponsors: Any parents of participating members of the club, and other interested adults, will be considered Sponsors of the Club after paying the annual sponsor fee of $1.00 per year. Voting privileges at the Annual Sponsor Meeting are restricted to those Sponsors of Record as of 30 days prior to the meeting date.
- Dues: The amount of Club dues if any, in addition to Regional and National dues, will be set each year by the Executive Board at the Annual Sponsors Meeting. Families with more than one member may receive a discount for rates set by the Executive Board for that year.
- Executive Board: The DC, Joint DC, Secretary, and Treasurer are considered members of the Executive Board, and have full voting rights at Board meetings. Board meetings will be held as needed, at least once a year at the Annual Sponsors Meeting. The Annual Sponsors meeting is held yearly according to the requirements of the National organization. Any participating members may attend Board meetings, but there is no requirement to publish notice of Board meetings except for the Annual Sponsors Meeting. The Club Treasurer and Secretary are nominated and voted upon by the Sponsors at the Annual Sponsors Meeting. At that time, the Sponsors also recommend individuals to the Regional Supervisor to act as DC and/or Joint DC as needed.
- Member in Good Standing: Participating Members are considered in Good Standing if they evidence a sincere interest in the activities of the Club, assist younger members in the learning process, and participate with regularity in the events of the Club at the Club, Regional and National level, when and where appropriate, according to age, experience, and suitability and safety of mount. As per National and Regional Bylaws, the DC has the right to terminate membership of any member or deny membership to any person at his/her own discretion.
- Transfers: Any member who wishes to change clubs must have the permission of his/her present DC, the new DC, and the Regional Supervisor before transferring. It is strongly discouraged to transfer during the year.
- Parent Participation: All parents must agree at the time of joining the Club to volunteer for a minimum of 50 hours a year. Failure to satisfy this requirement may be considered by the DC as reason not to accept the membership renewal application from that family for the next year.
- Rally Participation: All members are strongly encouraged to participate in Rallies. Members who want to test up into the "C" levels of Pony Club are required to have attended a minimum of one Rally before applying to rate. Exceptions may be made by the DC for unusual circumstances. The Club will help pay for Regional Rally entries, with the amount or percentage set by the DC after discussion with the Executive Board. The Club pays the entry fee and expenses for each team's Stable Manager. The Club will pay for half the entry fee for any participant in a National Rally. The DC will decide the team make-up for all Regional Rallies, with club participation being a factor in the selection. The Regional Supervisor chooses National Rally teams. Members attending Rally must attend Rally Camp.
- Mounts: A suitable mount for Club activities is a mare or gelding, usually five years or older, that is safe and appropriate for the child, and not posing a risk to the safety or learning experience of the other members. Mounts for Rally must be 5 years old, and must be approved by the DC.
- Ratings: Ratings are usually held twice a year when sufficient members are available for the test, but in no case will a member be required to wait more than six months. Candidates may test with another club. Testing fees up to $300 will be paid for by the Club. If a candidate does not appear for a testing that the Club has paid for, the candidate must reimburse the Club if the refund deadline has passed. The Club will pay for local testings. The DC will have final say over whether a member is ready to rate. Flow Charts must be completed and turned into the DC before a candidate may test. Members intending to test above the C-1 level must attend a minimum of 1 prep prior to testing. A member must participate and complete at least one rally per year in order to test up.
- Funds: Funds are dispersed by the Treasurer in consultation with the DC and the Executive Board. The Treasurer will maintain the accounts of the Club in such a manner that any member may request and be shown the accounts at any given time. Balance Sheets are distributed for each fund-raising event, and an annual report prepared for tax purposes in February for the prior year is available by request. Reimbursement requests should be turned in with proper receipts to the treasurer no more than 60 days after the date of purchase; after this time it will be considered a donation to the club.
- Dress Code: Attire must be appropriate for the activity in which the member is participating. Attire when mounted should be safe, neat, and in good repair; no tank tops. Helmets should always be worn and a jumping vest is highly recommended; appropriate footwear is required. Attire for unmounted meetings should be neat and conservative; no short shorts or midriffs showing. Undergarmets should never be visible. A Pony Club pin should be worn for all Pony Club activities. A member will be asked to change or be removed from the activity by the DC or other officers if clothing is not in compliance. It is recommended that any adults in attendance should be wearing appropriate footwear also.
- Safety Checks: At all Pony Club functions, to include but not limited to Rallies, mock Rallies, uprankings, mock uprankings, mounted meetings, and clinics, it is the D Pony Club member's responsibility to have a safety check performed by a qualified person prior to mounting. If the D member is unable to state who performed their safety check they may be asked to dismount and retire for the day.
- Junior Regional Council: The oldest member in the Club may be appointed to the Junior Regional Council by the DC. If that member chooses not to participate, the next highest rated, oldest member is chosen. The delegate can only serve one year, and must be at least a C-2. The next C-2 then can serve a term. These members may attend the annual meeting and other Regional Council events.
- Regional/National Meetings: All travel, hotel, and registration costs for the DC or other appointed officer, for required Regional Meetings should be paid for by the club. The cost of meals is to be covered by the officer. Travel, hotel, and registration costs for National meetings will be paid if funds are available, and will be evaluated in a timely manner before date of event by the Executive Board and sponsors; method of decision will be by majority vote.
- Amendments: These policies may be amended at any time by a vote of a majority of Sponsors. Any changes or additions to the National or Regional Policies and Bylaws automatically become a part of and supersede as necessary these policies until such time as changes can be ratified at the next Annual Sponsors Meeting or Board Meeting.
